Job description

  • Salary: £22,500 per annum pro-rata

About this role:

We are looking for an excellent part-time administration assistant to join our friendly, busy team. The post-holder will provide a wide range of support and assistance to our team of caseworkers and information, advice and guidance workers. The postholder will work with the Operations and Administration Team and will work with the Head of Operations and a full-time Administrator and a part-time administration volunteer. For more than 25 years we have been working with carers to provide information, advice and support, along with social events, breaks and other services to ensure that carers are well informed, supported and healthy.

Duties Include:

  1. To answer the telephone, deal with incoming enquiries and direct calls accordingly
  2. To book appointments for people who use our services, both verbally and in writing
  3. To become proficient in the use of our recording systems and databases
  4. To answer email enquiries directed to our general enquiries email address or redirect enquiries appropriately
  5. To enter referrals and other data onto our internal recording systems and ensure that records are accurate and kept up-to-date
  6. To prepare and send postal communications to our service users and other stakeholders
  7. To process the incoming and outgoing mail
  8. To ensure there are sufficient stocks of stationary and other equipment
  9. To ensure that store cupboards are kept tidy and stocked
  10. To assist with events
  11. To keep the office inventory record up-to-date
  12. To keep the staff equipment records and checklists up-to-date
  13. To ensure that incoming invoices are authorised and coded correctly
  14. To support the Administrator by reviewing processes and systems
  15. To carry out desk research on behalf of colleagues as required
  16. To support the administration volunteer
  17. To support the Operations and Administration as required

Person Specification:

  8. Skill in using online databases – give examples of systems you have used e.g. Charity Log
